How RE:JOIN Uses Artificial Intelligence Technologies

Introduction

This document describes how RE:JOIN LIMITED, a company incorporated in the Hong Kong Special Administrative Region with its registered office at RM 68, 7/F, Woon Lee Commercial Building, 7 Austin Avenue, Tsim Sha Tsui, Hong Kong (the "Company", "we", "our", "us"), integrates and uses artificial intelligence technologies ("AI") in our mobile application. This document explains the purposes for which AI features are used, the scope of their application, the categories of data to which the AI may and may not have access, and the measures taken to protect users' privacy. This document is intended for end users, partners, and regulatory authorities, and is drafted in a style consistent with legal and compliance documents such as privacy policies.

By using our application and interacting with the AI assistant, you acknowledge and agree to the practices set out in this policy.

Purposes of AI Use

The AI assistant in the RE:JOIN mobile application is intended to:

  • provide technical support to users (for example, troubleshooting issues);
  • assist with questions relating to payment and access to content;
  • answer questions about Content Authors' content, including courses, videos, and chats.

The AI is used solely to improve the user experience by providing instant, automated support. It does not replace the channels of communication with support representatives, which remain available for complex or unresolved matters.

Scope of Application

The AI assistant may be used:

  • By Users — to obtain assistance with technical problems, payment-related questions, and content-related questions;
  • By Content Authors — to obtain anonymised and aggregated summaries of user interactions (for example, trends and frequently asked questions) for the purpose of improving content and enhancing community engagement.

The AI is not a general-purpose tool for obtaining personal advice and operates exclusively within the framework of the content and services provided by RE:JOIN LIMITED.

Data to Which the AI Has Access

To perform its functions, the AI assistant may have access to the following categories of data:

  • user profile information (display name, profile image);
  • subscription status and access rights;
  • the user's access rights to specific content (courses, videos, chats);
  • data on the completion of paid courses;
  • Content Author profile information and the content they have published (videos, topics, chats).

Access is strictly limited to the purpose of providing correct and relevant responses.

Data to Which the AI Does Not Have Access

The AI assistant does not have access to, and does not process:

  • users' telephone numbers;
  • payment details (bank cards, accounts, electronic wallets);
  • Google, Apple, or other third-party service identifiers;
  • any other personal identifiers, other than the minimum necessary identifiers specified above.

Payment transactions and other sensitive identifiers are processed exclusively by third-party payment processors and fall outside the scope of the AI.

Content Author Content Available to the AI

The AI assistant may use the following content to provide responses:

  • Content Author profiles;
  • published videos and their metadata;
  • topics, lessons, and chats (where the user holds the relevant access rights).

Where the user does not hold a valid subscription or other access right, the AI does not have access to the corresponding paid content and cannot disclose it.

Communication Rules

  • Chat confidentiality: correspondence between the user and the AI assistant is private. Content Authors do not have access to individual users' chats with the AI.
  • Summaries for Content Authors: Content Authors may receive anonymised, aggregated reports (for example, trends and common user issues). Such reports never contain personal information or direct chat transcripts.
  • No external access: no third parties, including external providers, have access to users' correspondence with the AI, except in the cases set out in the "Third-Party AI Providers" section.

AI Limitations

Users should take the following limitations into account:

  • AI responses may contain errors or inaccuracies; important information should be verified independently;
  • the AI does not provide professional services (legal, medical, or financial advice);
  • responses are generated on the basis of available content and training data, and their accuracy and completeness are not guaranteed;
  • the AI does not replace the ability to contact RE:JOIN support directly.

Data Use and Protection

The Company is committed to responsible and secure data management.

  • Storage: all interactions with the AI are stored exclusively on RE:JOIN servers;
  • No personal identifiers: the data used to train and improve the AI does not contain personal identifiers (names, logins, telephone numbers, user IDs);
  • Training: AI models may be further trained on anonymised, aggregated user-interaction data;
  • No sale of data: user data is never sold or transferred to advertisers or third-party organisations;
  • Confidentiality: all data remains confidential and is protected against unauthorised access.

Third-Party AI Providers

Although RE:JOIN uses its own AI models on the Company's servers, in certain cases vetted third-party providers (for example, OpenAI, Anthropic, or Google) may be used.

  • Limited data transfer: only the minimum necessary anonymised data is transferred to third-party providers.

GDPR and CCPA Compliance

RE:JOIN complies with the provisions of the General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA). We also handle personal data in accordance with the Hong Kong Personal Data (Privacy) Ordinance (Cap. 486), as overseen by the Office of the Privacy Commissioner for Personal Data (PCPD), Hong Kong.

Your Rights

  • Access: you may request a copy of the personal data processed about you;
  • Rectification: you may request the correction of inaccurate or incomplete data;
  • Erasure: you may request the deletion of your data, where permitted by law;
  • Restriction of processing: you may request that the ways in which your data is processed be restricted;
  • Portability: you may request that your data be provided in a machine-readable format;
  • Objection: you may object to certain methods of data processing, including the use of AI, in the cases provided for by law.

Exercising Your Rights

Requests under the GDPR, the CCPA, or the Hong Kong Personal Data (Privacy) Ordinance (Cap. 486) may be submitted using the contact details set out below. A response will be provided in accordance with applicable law.
